Projectwinstgevendheid mist $6,7M aan kosten

Slechts 1 mutatie (waarde $0) is daadwerkelijk gekoppeld aan een specifiek project. De overige 7.155 mutaties — $6,7M — staan op contractniveau of zijn volledig niet gekoppeld. Dit betekent dat elke projectmargeberekening in Autotask de kostenmutaties volledig mist, waardoor projectwinstgevendheidsrapporten onbetrouwbaar zijn.

Contractniveau-mutaties zijn een verborgen allocatieprobleem

2.242 mutaties ($3,94M) zijn gekoppeld aan contracten maar niet aan projecten. Als een contract meerdere projecten omvat, is er geen geautomatiseerde manier om te bepalen welk project elke mutatie absorbeert. Ze verschijnen in contractwinstgevendheidsrapporten, maar niet in projectmargeanalyses.

Zwevende mutaties groeien maand over maand

Het maandelijks volume aan volledig niet-gekoppelde mutaties steeg van $265–332K in Q4 2024 naar $424–457K in Q4 2025. Dat is circa 50% groei in niet-toegewezen mutatiewaarde op jaarbasis. Zonder ingrijpen wordt dit gat elke maand groter.

April 2025-piek: $534K in één maand

April 2025 liet aanzienlijk meer zwevende mutatiewaarde zien dan omliggende maanden: $534K tegenover een gebruikelijk niveau van $310–390K. Dit kan duiden op een grote batch mutaties ingevoerd zonder contract- of projectkoppeling, een facturatie-import, of een wijziging in de configuratie van bepaalde serviceartikelen in de PSA.

Veelgestelde vragen

Wat is precies een "charge" in Autotask PSA? +

Kostenmutaties (charges) in Autotask PSA zijn factureerbare kosten die geen tijdregistraties zijn — hardware, software, abonnementen, materiaal en andere doorbelaste posten. Ze worden vastgelegd in de tabel BI_Autotask_Charges en kunnen gekoppeld zijn aan een contract, een project, beide, of geen van beide. Het veld billable_amount geeft aan wat aan de klant in rekening wordt gebracht.

Waarom heeft een mutatie geen contract- of projectkoppeling? +

Veelvoorkomende oorzaken: mutaties handmatig ingevoerd zonder contract of project te selecteren, bulkimports zonder contract- of projectvelden, mutaties aangemaakt vanuit productcatalogusitems met onvolledige standaardinstellingen, of mutaties ingevoerd op klantniveau in plaats van op een specifiek contract. Dit zijn gegevensinvoerfouten, geen systeemfouten.

Betekent dit dat er $6,7M aan niet-gefactureerde kosten is? +

Niet noodzakelijkerwijs. Het billable_amount geeft aan wat als factureerbaar is geregistreerd — de mutaties kunnen al aan klanten zijn gefactureerd. Het gaat er niet om of ze zijn gefactureerd, maar of ze zijn toegewezen aan het juiste project of contract voor winstgevendheidsrapportage. Omzet uit deze mutaties kan in totale omzetcijfers verschijnen, maar niet in projectmarges.

Hoe los je allocatieconflicten op? +

In Autotask PSA: open elke mutatierecord en wijs deze toe aan het juiste contract en/of project. Voor bulkherstel kunt u de Autotask API gebruiken of de mutatieslijst exporteren en opnieuw importeren met de juiste koppelingen. Configureer voor de toekomst PSA-workflows die verplichten dat contract- en projectvelden worden ingevuld voordat een mutatie kan worden opgeslagen, zodat nieuwe zwevende mutaties worden voorkomen.
